However, <\/span><b>integrating them into your absence management policy can be hugely beneficial<\/b><span style=\"font-weight: 400;\"> to you as an employer. They are an opportunity to <\/span><b>pinpoint and address any employee concerns<\/b><span style=\"font-weight: 400;\"> and or changes to their requirements. Based on this, you can form a personalised action plan to reduce future absences.\u00a0<\/span><\/p>\n<h2><a name=\"benefits\"><\/a><b>Return to Work Interview Benefits\u00a0<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Many employers may avoid return to work interviews due to resource and time constraints. It may seem like just another thing to add to managers\u2019 workloads. <\/span><i><span style=\"font-weight: 400;\">But,<\/span><\/i><span style=\"font-weight: 400;\"> the ends justify the means. Welcome them back and show excitement that they\u2019ve returned. This way, it\u2019s more likely they\u2019ll be open and honest.\u00a0 Ensuring you prepare a private space, such as a private room, is integral to this. At the end of the day, you know your employee best. Think about the environment they would be most comfortable in. <\/span><\/p>\n<h3><b>Confidentiality<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Assure them the personal data you record as part of the back to work interview will be completely confidential and you will adhere to GDPR regulations. You should also highlight the fairness of the process by clarifying that the interview template for all returning employees is standardised as part of your <\/span><a href=\"https:\/\/factorialhr.co.uk\/blog\/sick-leave-uk\/\"><span style=\"font-weight: 400;\">absence management policy<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<h3><b>Show empathy<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">The purpose of this is not to catch them out. Try to be understanding and really listen to what they\u2019re saying. This should be outlined in your absence management policy to promote consistency and therefore equality across your workforce.\u00a0<\/span><span style=\"font-weight: 400;\">A back to work interview will follow this pattern:\u00a0<\/span><\/p>\n<ol>\n<li><b>Welcome the employee back to work.<\/b><span style=\"font-weight: 400;\"> Consider making this more meaningful by referencing their reason for absence, whether it be <\/span><a href=\"https:\/\/factorialhr.co.uk\/blog\/maternity-leave-pay-rights-law\/\"><span style=\"font-weight: 400;\">maternity leave<\/span><\/a><span style=\"font-weight: 400;\">, sickness or a <\/span><a href=\"https:\/\/factorialhr.co.uk\/blog\/bereavement-leave-employer-obligations\/\"><span style=\"font-weight: 400;\">bereavement<\/span><\/a><span style=\"font-weight: 400;\">, for example.<\/span><\/li>\n<li><b>Share any updates.<\/b> Has anyone left or joined the company? Are there any key structural changes? Have there been shifts that impact their role?<\/li>\n<li><b>Assess whether they need retraining.<\/b> If the absence period was substantial, perhaps they\u2019ll need to be <a href=\"https:\/\/factorialhr.co.uk\/blog\/training-and-development\/\">retrained<\/a> on certain applications or workplace processes.<\/li>\n<li><b>Ask about the reason for absence and any adjustments they require. <\/b>This part of the return to work interview will differ person to person. For example, if their absence was due to maternity leave, they may require <a href=\"https:\/\/factorialhr.co.uk\/blog\/manage-flexible-working-hours\/\">flexible work arrangements<\/a> to allow for childcare. Perhaps this means a phased return to work or a hybrid working schedule. On the other hand, if their absence was related to their health, they might need support in the workplace. They might want to share recommendations from a medical professional. Or, perhaps they are disable and will require \u2018<a href=\"https:\/\/www.gov.uk\/reasonable-adjustments-for-disabled-workers\">reasonable adjustments<\/a>\u2019 to be made such as physical changes to the workplace or a different shift times. Acas provides more specific advice on how to handle an <a href=\"https:\/\/www.acas.org.uk\/absence-from-work\/returning-to-work-after-absence\">employee returning to work from sick leave.<\/a><\/li>\n<li><b>Check whether their absence was related to work. <\/b>There may be personal triggers in the workplace that you can remove moving forwards.<\/li>\n<li><b>Create and agree to an action plan.<\/b> Both you and the employee should come away from the return to work interview with a clear understanding of any actions that will be taken.<\/li>\n<li><b>Clarify your absence management policy and the consequences of breaching it. <\/b>Explain the process that is triggered when the policy is not adhered to. Do they receive a verbal warning? What happens to repeat offenders?<\/li>\n<li><b>Open the floor.<\/b> Give the employee an opportunity to mention anything that hasn\u2019t been covered.
